MD Events is strengthening our reputation as a truly global company with the opening of an operations office in Saint-Petersburg, Russia. Founded upon the principles of our clinical event expertise and regional knowledge, we are an organisation which responds to the needs of our clients, and the delegates who attend our meetings. Being an effective partner means listening to clients and understanding the challenges they face – and this is at the heart of our decision to establish our presence in Russia.
Over several years, we have seen a marked increase in the number of trials, and therefore meetings, either taking place in Russia or involving a large contingent of Russian and Ukrainian delegates. These meetings present specific challenges in terms of local regulations, visa requirements, travel intricacies and restrictions, personal reimbursements and, of course, potential language issues. What is more, we appreciate that finding solutions to these challenges often fall to CRAs to manage adding to their already heavy workload.
From our St Petersburg base, MD Events will be able to liaise with Russian clients, delegates, hotels and vendors in their own language to provide a more streamlined and targeted service, as well as making the experience of attending clinical meetings much more positive for delegates both in terms of travel and other logistics such as personal expense reimbursements.
VISAS
The acquisition of visas can be a time consuming process. We can help to process visa applications for Russia and Ukrainian delegates attending meetings in other locations. In addition we can help with entry visas to Russia for non-residents attending a meeting here.
Our in-depth knowledge of the visa system allows us to process a greater number of applications within the tight deadlines that clinical meetings sometimes demand.
EVENT MANAGEMENT
We understand that our clients are very busy people and they need to work with a meeting planner who they can trust to work on their behalf without having to give up too much of their valuable time. Our team of experienced Clinical Event Managers take control of every aspect of your event, giving you a single point of contact and keeping you fully informed of all progress. Working with their internal team of Clinical Event Coordinators they work with you to handle all of your requirements and will be onsite with their team to manage the event and ensure that everything runs smoothly.
Reimbursements
We are able to provide a reimbursement service to your delegates for additional expenses which they incur when attending your meeting. We will provide your delegates with the necessary form in order to submit these expenses to us along with supporting receipts. Before payments are made to the delegates, we will ensure that all the expenses are wholly for the purposes of the meeting and also that they fall within the applicable guidelines.
